Date Auction

  • Greek organization to team up with us

  • Goal: Choose which group we are going to work with by next week

  • Presenting team for next Wednesday’s Finance Meeting: (For conference associated costs)
  • John: Talk with Elliot to determine the best fund to request money from

Finance Minutes for 24 October 2007

In attendance:

  • Tim Shadix

Tim:

  • Jessie’s fundraising idea: People auction themselves as dates for an arranged catered dinner
    • Tim’s modification: People give donations to be placed in a “blind date pool,” then are randomly assigned a date for the evening
    • Plan is to possibly hand this one over to the Greeks as a fundraiser on our behalf
  • We need to send out Thank Yous to buyers and donors from our auction. Joseph is making a template
  • IMPORTANT: If you were the contact with a business that donated anything for the auction, make sure to give them a copy of our tax receipt as soon as possible if you have not already. The tax receipt was sent out most recently as an attachment in Yukta’s e-mail titled “Important Document.” [ed note: also available here]

Jens:

  • Already made a Thank You for Reid staff, will deliver
  • Only a couple items from the auction have not been picked up. They are all students Jens knows, so will contact within next couple days

Tasks:

  • Sending thank you notes as soon as the template is available
  • Everyone come to next week’s meeting with a couple ideas for fundraising events we can do
  • We need a new team to take over selling advertising space. Anyone interested?
  • Contact people in Greek organizations and clubs about doing fundraising events for us

New WDA updates:

  • Daniel to become Study Group facilitator
  • Joseph donations: backpacking gear $500-700; $240 wine
  • Tabling Saturday 11:30-1:30: Yukta, David, Jessie
  • Tabling Sunday 9:00-11:00 am: Jens/Kelsie (to take money and give out items)

REMEMBER to write down Olin 130 on the fliers for Saturday’s event

Handing out fliers at other events:

  • Art Exhibition 3 pm: Yukta
  • Fridays at Four 4 pm: Jessie
  • Parent Faculty Social 5 pm: Kelsie

Pre-auction todo list:

  • Jo: Pick up cookies before 2:30—hand off both to the library desk for Yukta, chalking
  • Yukta: Make auction information sheets, plates
  • Tim: Make maps, pick up sub sandwich
  • Jessie: Make descriptions/donation cards
  • Everyone: Find leaves/dried flowers/pretty shrubbery for decorations

Friday Set Up 6:15 BRING ALL AUCTION ITEMS! Meet at RED couches

  • Tables set up (Table cloths and decorations)
  • Chairs set out
  • All auction items arranged with appropriate descriptions/donation cards/maps
  • Check sound/slide show
